Set up the client portal

What your customers' contacts can do in the portal, how to give access and what to check first.

The client portal is the branded side of your workspace for your customers' contacts. It has a dashboard, a ticket list, a new-ticket form with attachments and the ticket conversations.

What contacts can do

  • Create tickets (with up to 10 attachments) and reply in the conversation.
  • Close their own ticket. Replying reopens it; the portal warns first.
  • Change the priority of a ticket. The change is logged as an internal note.
  • Follow the status timeline of a ticket.
  • Read your knowledge base articles in the help center, in their own language first, and download them as branded PDFs.

Cc and Bcc addresses and internal AI steps are never shown in the portal.

Documents, projects and assets

  • Documents: each contact has three separate switches for contracts, invoices and quotes, all off by default. Set them on the contact under Client portal access. With access, contacts can pay open invoices online, respond to quotes, sign contracts and download PDFs.
  • Projects: share a project from its page. The customer sees name, status, due date, milestones and task progress, never task titles. Budget visibility is set per project: hidden (default), percentage only, or amounts.
  • Assets: turn on Show assets in the client portal on Settings → Features and the toggle on the contact's Portal & consent tab.
  • Custom fields on tickets, projects, quotes or contracts appear only when Show on the client portal is on.

Give a contact access

Open the contact, go to the Portal & consent tab and choose Invite to the portal. The tab shows the Portal account state: Active, Invitation pending or No portal access.

  • Portal users sign in with a password and a second factor. Client-portal users can be exempted from the second factor one by one.
  • Someone who is staff in your workspace cannot also be a portal user there.

Before you invite the first customer

1

Finish the branding

Logos, accent colour and support-team name. See Branding and custom domain.

2

Decide how staff appear

Real technician names or a generic support-team identity.

3

Check languages

The enabled languages on Settings → General and each contact's language.

4

Publish help articles

Give the help center something to show.

5

Set document access

Set the three document switches on each contact on purpose.

6

Test as a customer

Invite a test contact with an e-mail address that is not a staff login in this workspace. Create a ticket, reply, close it and open a document.
